There shall be a Board of Deacons consisting of nine (9) members divided into three (3) classes, one class of whom shall be elected each year at the Fall congregational meeting for a (3) three-year term.
No deacon shall serve on the Board of Deacons for consecutive terms, either full or partial, aggregating more than six (6) years; but shall be ineligible to be elected to a new term until on (1) year shall have elapsed. Attention shall be given to a fair representation of both male and female constituency of the congregation.
The Deacons will meet three times per year following worship and once per year with the Session.
The Board of Deacons will select its own moderator and secretary/treasurer. The responsibility of the secretary/treasurer will be to take minutes and to keep track of the Deacon’s budget.
The duties of the Board of Deacons are as follows:
1. Shepherding. Each of the nine deacons shall care for 1/9 of the households in our membership/friends list. This care would consist of connecting with them throughout the year. This will involve informing the pastor regarding any needs (home-cooked healing, card showers, services of healing, etc.) and connecting them to the larger faith community. Deacons will be responsible for delivering worship tapes/cds to the homebound on their care list who request them
2. Membership. The Deacons will work with the office assistant to keep a computer program update with members and friends regarding addresses, e-mails, birthdates, anniversaries, etc. Deacons will update the photo list on the bulletin board and the photo directory. They will also add new members to the shepherding list. Deacons will assist the pastor with welcoming new members including “Test the Waters”, receptions for new members, and for contacting visitors to the church by letter or phone.
3. Deacon’s Table. This table in Shuffleboard Hall will be stocked with cards (sympathy, birthday, get well, congratulations, etc.) plus envelopes, and stamps. Members of the congregation would be encouraged to write a card and put it in the mailbox. Deacons will see that these cards are mailed. Also on the table will be news from the Deacons, lists of people needing home-cooked healing, food for bereaved families related to our congregation, rides to church, or whatever news is necessary for the congregation to know.
4. Publicity. Deacons will update the prayer list with assistance from the pastor for the bulletin, newsletter, White Spire, and other communication media. Deacons will post significant days such as birthdays and graduations in the White Spire, and other news of the Deacons and of church members as appropriate. Deacons will have oversight of the bulletin board in the stairwell regarding news about our church members. The Deacons will also update the bulletin board in the stairwell regarding news about our friends and members.
5. Kitchen. The Deacons will provide oversight of the kitchen. This would include updating guidelines for kitchen use and keeping the kitchen in good working order.
6. The Deacons will provide a report once per year to Session and include a report in the annual report.
